UK landlord certificate tracker

Track EICR, Gas Safety and EPC.
Ready as proof.

Photograph the paperwork where you stand. Free tracks one property on this phone. Pro reads EICR, Gas Safety and EPC dates on device — nothing is sent away — and builds a proof pack when someone asks. No account. Not another landlord operating system.

How it works

From paperwork in your hand to proof in three steps.

Photograph it on the doorstep, or email the PDF in — yourself or a contractor. Then file it onto the property and hand over the pack when someone asks.

  1. Onboarding step for adding 251 Menlove Avenue and choosing which certificates to track
    01

    Add a property

Name it and tick only the certificates that apply — no gas, not an HMO, PAT if the insurer asked. Checklist in under a minute. No account, no import wizard.

  2. Add certificate screen with EICR selected and fields for inspection and expiry dates
    02

    Photograph the certificate

Scan the paperwork on the phone. Dates and the certificate number fill in on device; the photo is the evidence. Mark when you served it to the tenant. With Pro, you can also email a PDF in to import it.

  3. Property detail for 12 Arnold Grove showing an expired EICR and the evidence on file
    03

    Hand over the pack

When an agent, council or tenant asks, share a branded PDF with the photos, dates and tenant-served record. Pro also reminds you at 90, 60, 30, 14, 7 and 0 days so you are not scrambling.

Features

The certificate becomes evidence. On your phone.

No rent collection, no repairs, no accounting. ProofLet does one job: capture the paperwork, know if the house is covered, and hand over proof when someone asks.

Pro

Photograph it. Nothing leaves the phone.

Point the camera at an EICR, Gas Safe record or EPC. ProofLet reads the dates and certificate number on the device — the image is not sent to us, or to anyone else, to be processed.

  1. 01 Photograph the paperwork
  2. 02 Dates and number fill in
  3. 03 Photo stored as evidence

Red, amber, green at a glance

Open the app and know instantly what is valid, what is due, and what is missing, for every property.

Dashboard showing 87% readiness, one expired EICR and properties in red, amber and green
Pro

Served to the tenant, on the certificate

Not a later log. The served date lives on the same record as the photo, the issuer and the reference — and it goes into the proof pack.

Free

No account. No sign-up.

Install it and start. Everything lives on your phone until you choose to back it up.

Pro

Proof pack in one tap

A branded PDF of the certificates you captured — photos, dates, and tenant-served — ready for agents, councils, solicitors or tenants.

Pro

Reminders before it becomes a problem

Free shows you the status when you open the app. Pro reminds you on your phone at 90 / 60 / 30 / 14 / 7 / 0 days, at a time you choose, and emails you too when cloud backup is on.

Pro

Survives a lost phone

Encrypted backup to the cloud with a one-time-code sign-in. Restore on any device, open the same records on a laptop at portal.prooflet.co.uk, get expiry emails as well as on-phone reminders, and email a PDF in to import it — yourself or a contractor.

Proof pack

When someone asks for evidence, you already have it.

Hand agents, councils or solicitors a branded PDF in one tap. The photos you took, the dates and numbers from the paperwork, and whether the tenant was served — not a dashboard printout.

  • One A4 pack per property, generated on the phone
  • Issuer, reference, evidence photos and tenant-served date
  • Built from what you captured, not from a web vault

FAQ

Questions, answered.

Still unsure? Talk to us. A real person answers.

Which certificates does ProofLet track?

The five that come up for almost every private rental: the Electrical Installation Condition Report (EICR, 5 years), the Gas Safety Record (CP12, 12 months), the Energy Performance Certificate (EPC, 10 years), a Legionella Risk Assessment (2 years) and the annual Smoke and Carbon Monoxide alarm check. HMOs also get Fire Risk Assessment and HMO licence on the checklist; PAT testing is there when you need it. Switch off types that do not apply, and add your own (insurance, tenancy agreements) when you want.

Does scanning send my certificates to the internet?

No. The camera scan runs on your phone. Dates and certificate numbers are read on device; the image is not uploaded for processing. Cloud backup is a separate, optional Pro step you turn on later.

Where can I download ProofLet?

On the App Store for iPhone and iPad, and on Google Play for Android.

Is it really free?

Yes. Free tracks one property with the full checklist, red / amber / green status and one evidence photo per certificate, stored on your device. No account. Pro adds a 14-day free trial, then on-device scan, reminders on your phone and by email (with cloud backup), unlimited properties, up to 8 evidence photos per certificate, tenant-served records and proof-pack export for £4.99 a month or £39.99 a year.

Do I need an account?

No. ProofLet works entirely on your phone with no sign-up. If you upgrade to Pro and turn on cloud backup, you sign in with a one-time code sent to your email so your records can be restored on another device, opened on a laptop at portal.prooflet.co.uk, and so we can email you before a certificate expires.

Is there a web version?

Yes, for ProofLet Pro with cloud backup on. Sign in at portal.prooflet.co.uk with the same email you use in the app. Free stays on your phone only — no account required.

Can I import a certificate by email?

Yes, with Pro and cloud backup on. Settings shows a unique inbox address. Email a PDF or photo to it yourself, or share it with a contractor — then file it onto a property in the app. Nothing is created until you confirm the type and dates.

Where is my data stored?

On your device by default. With Pro cloud backup enabled, an encrypted copy is stored in the cloud so it survives a lost or replaced phone. Certificate scanning happens on device; images are not sent anywhere for processing. See the privacy policy for the full picture.

What is a proof pack?

A PDF for one property built from what you captured: every certificate with its issuer, reference, issue and expiry dates, the evidence photos, and whether it was served to the tenant. Landlords use it for letting agents, council licensing teams, solicitors during a sale, and tenants who ask for copies. Free shows a preview; Pro lets you share and save it.

I let in Scotland, Wales or Northern Ireland. Does it still work?

Yes. The checklist reflects the requirements most commonly applied to private rentals in England, but the certificates themselves are the same across the UK and you control the dates. Requirements and frequencies differ in places, so always check the rules for your property and tenancy.

What does ProofLet not do?

It does not collect rent, manage repairs, file tax returns or draft notices, and it is not legal advice. It does one job: turning your safety certificates into evidence you can hand over.

ProofLet

Photograph it. Hand over the pack.

Free for your first property. Photograph every EICR, Gas Safety and EPC in an evening. The evidence lives on your phone until you choose to back it up.
